ILM Future ("we", "us", "the academy") operates a learning platform delivered through a web portal and mobile/desktop applications (the "Service"), provided on the Mentoza platform. This policy explains what personal data we process, why, the legal bases we rely on, and the rights you have. It applies to students, parents, and staff who use the Service.

1. Information we collect

• Account & identity: name, email address and phone number you provide at registration or enrollment.
• Learning activity: courses and batches you enroll in, lessons viewed, attendance, assignments, quiz and mock-test attempts and scores, certificates.
• Payments: fee and installment records and payment status. Card/bank details are handled by our payment gateway and are not stored on our servers.
• Camera & microphone: accessed only when you join a live class or send a voice message in chat. We do not access your camera or microphone in the background.
• Device & technical: app version, device type, and basic log data needed to operate and secure the Service.

2. How we use your information

• To create and manage your account and deliver the courses you enroll in.
• To record attendance, grade assignments and exams, and issue certificates.
• To process fees and installments and send related notices.
• To enable live classes and in-app chat, including voice messages.
• To secure the Service and protect content (screenshot/screen-record protection on exams and course videos).
• To send service notifications relevant to your enrollment.

3. Legal bases (GDPR)

Where GDPR applies, we process personal data on the bases of: performance of a contract (delivering the courses you enrolled in), your consent (e.g. camera/microphone access, optional notifications), our legitimate interests (securing and improving the Service), and legal obligations (e.g. tax and accounting records for payments).

4. Sharing & third parties

We do not sell your personal data. We share it only with service providers who help us operate the Service, under appropriate safeguards:

• Payment gateway (to process fees) — receives only what is needed to complete a payment.
• Cloud hosting and storage providers (to run the platform and store course media and recordings).
• Communication providers (email / WhatsApp / SMS) for enrollment and account notices.
• Live-class infrastructure for real-time video sessions.
• AI grading provider, where the academy has enabled automated grading of descriptive answers (only the submitted answer text/attachment is sent).

5. Cookies & local storage

The web portal uses strictly necessary cookies to keep you signed in and to secure your session. The mobile/desktop apps store your session token securely on your device. We do not use third-party advertising cookies.

6. Data retention

We keep account and learning records for as long as your account is active and as needed to provide the Service. Payment and invoice records are kept for the period required by applicable tax and accounting law. When data is no longer required, it is deleted or anonymised.

7. Security

We use industry-standard measures including encrypted connections (HTTPS), hashed credentials and access tokens, tenant-level data isolation, and content-protection controls on the apps. No method of transmission or storage is completely secure, but we work to protect your data appropriately.

8. Your rights

Subject to applicable law, you may request access to, correction of, or deletion of your personal data, object to or restrict certain processing, withdraw consent (e.g. camera/microphone or notifications), and request a copy of your data. 9. Children

The Service is used by learners including minors, under the responsibility of the enrolling academy and, where applicable, a parent or guardian. We collect only the data needed for education delivery and do not knowingly use children's data for any purpose beyond providing the Service. Parents/guardians may contact us to review or remove a minor's data.

We may update this policy from time to time. Material changes will be reflected here with an updated "Last updated" date.
